Automated information subsystem

“Audit”

Purpose:

The subsystem has been designed to be used in banks, corporations and organizations.

 

The subsystem ensures automation of the processes of accumulation, storage and processing of data about audits and documents concerning implementation of audit materials (assignments, inquiries, summaries; documents based on results of examination of inquiries and results of fulfillment of proposals for elimination of the identified drawbacks). The subsystem deals with analysis of information about the audit results, proposals for elimination of the identified drawbacks and discrepancies and monitoring of elimination of the identified drawbacks and discrepancies and implementation of recommendations. The subsystem also provides search for and preparation of necessary accounting information about the audits.

The unique characteristics of this system are as follows:

§    Maintains multilevel hierarchical model for collection of information about audit results;

§    saves past changes in reference data with an ability to obtain reports of irrelevant (past) data;

§    multilevel system for approving all the entered information in AIS at the management level, that maintains detailed examination of primary information;

§    storage of WORD documents, resumes, inquiries, etc. in the database in order to compare the information from the database with primary resources;

§    availability of convenient graphic interface for receiving ad hoc queries by users of AIS without involving designers;

§    availability of audit journal for tracking users’ actions for changing database structure.

Configuration:

The subsystem consists of individual modules such as: “Administrator” and “User”.

Ergonomics and aesthetics:

The software ergonomic solutions ensure convenience and efficiency for the users. Regulatory and reference data are formed in all cases where it is possible to unify data and replace manual entry with selection of value from the list offered by the subsystem applications. Quick context search in accordance with the specified parameters is supported in the screen form tables and lists. Flexible filters and sorting and groupings make the work with the subsystem much easier.

Architecture:

It is a client-server architecture that enables working in the local network using the TCP/IP protocol..

”Administrator” module enables the user:

§    to add new users to the system with assignment of logins and passwords;

§     to appoint the access rights to users to the objects of the database and functions of the system;

§     to block users from access to the Automated Information System data and functions;

§     to review and to print out the audit journals about the system operations;

§     to set the user inactivity period to disconnect the user from the database

§     to fix the AIS functioning parameters that related to the system service functions (e.g. the period for changing the passwords by users, enabling and disabling of the opportunity to approve under certain modes, permission to add information to the reference directories by users, etc.);

§     to keep a note journal used by the administrator at his own discretion.

“User” module enables the user:

§    to log in to the system;

§    to enter source information to the “Audit” database;

§    to enter and edit information about the conducted checks according to the users access rights;

§    to enter documents prepared based on the audit results from the Word files;

§    to fill in and keep the data reference directories;

§    to review input information stored in the database;

§    to review documents related to a definite record in the database;

§    to search for necessary information;

§    to search for information based on attributes with a possibility to save results in Excel format file. List of all necessary attributes includes all the fields of the database to be filled in;

§    to receive reports and print them out;

§    to generate standard reports. The reports should be available for certain groups of users;

§    to change personal password according to the specified period of password validity;

§    to receive warnings on deadlines to eliminate critical notes;

§    to approve information entered (for persons in charge);

§    to unblock editing by responsible individuals.

Auxiliary software:

To operate the subsystem it is necessary to use Oracle 8.0.5 Enterprise Edition software or higher and Microsoft Excel 2000.

Information security

is provided by the DBMS Oracle and “Administrator” module. The following functions are realized in the subsystem: authorization of users by assigning them the logins and passwords, module authentication and restriction of the user access rights to the data and functions of the subsystem.

Standard package:

It includes a compact disk containing software for the “Administrator” and “User” modules and a manual in the Russian language.

Installation terms:

Installation and training of users will take at least a month.

Technical support:

Warranty technical support (during six months after commissioning) and after-warranty support (at the customer’s wish based on the contractual agreement). The following services are provided within the framework of technical support

§    Correction of program errors identified during the process of software exploitation;

§    Consulting services for the customers concerning application of the software;

§    Delivery of the updated software;

§    Consulting services in the event of substandard situations.

Customization:

Customization is possible (subject to the Auxiliary discussion).
