Automated information subsystem

“Keeping record of implemented work”

 Purpose:

     The subsystem has been designed to be used in corporations, banks and organizations

The subsystem ensures accounting of the time that the employees spend on execution of work assignments, workers’ employment, etc. The head so different departments should monitor on continuous basis the assignment of responsibilities between the workers when executing different projects or tasks and encourage personnel for successful implementation of the intended objectives. Proper accounting is the basis for effective management. It refers in full measure to the human resources of each enterprise. Optimization of the organization structure, formation of the enterprise staff and planning of wage bill constitute the key elements of the human resources management. There might be excessive labor resources in some departments (and substantial amounts are needed to pay their salaries), while other departments suffer the lack of specialists and are regularly overworked which inevitably affects the quality of the enterprise operations. Proper planning and control of the working hours by each worker is the need of out time.

 Configuration:

The subsystem has been designed on the basis of the “Administrator” and “User” modules.

 Ergonomics and aesthetics:

The software ergonomic solutions ensure convenience and efficiency for the users. Regulatory and reference data are formed in all cases where it is possible to unify data and replace manual entry with selection of value from the list offered by the subsystem applications.

 Architecture:

It is a client-server architecture that enables working in the local network using the TCP/IP protocol.

 “Administrator” module enables the user::

§         to adjust the subsystem functioning parameters (adjustment of modes of the working hours accounting, report parameters, adjustment of the reference directories);

§         to assign the user access right to the subsystem data and functions (generation of groups and roles of users, differentiation of the rights using the fields of authors, readers and browsers and creation of personal representations);;      

§         to generate, edit and convert the reference directories and glossaries;

§         to archive date.

 “User” module enables the user:

§         to keep the subsystem reference directories;

§         to create and assign the planned tasks to the executors in accordance with their responsibilities and the executors should provide reports on fulfillment of said tasks;

§         to review the working hours cards;

§         to fill in the working hours accounting cards by the department staff (depending upon the working hours accounting regime an employee fills in the card of execution of tasks and functions on daily or monthly basis);

§         to control execution of tasks and functions based on the working hours accounting cards of the staff members, head of departments or executives in charge;

§         to monitor actual time spent on execution of the department functional tasks;

§         to generate and print out reports (depending on the access level an employee may generate different types of reports).

 Auxiliary software:

To operate the subsystem it is necessary to use Server/Client Lotus Notes Domino R5, Microsoft Excel 97/2000 and Word 97/2000.

 Information security

is provided by the Server Lotus Notes Domino R5 and “Administrator” module. The following functions are realized in the subsystem: authorization of users by assigning them to ID-files and restriction of the user access rights to the data and functions of the subsystem.

 Standard package:

It includes a compact disk contains software for the “Administrator” and “User” modules and documentation in the Russian language.

 Installation terms:

Installation and training of users will take at least one month.

 Technical Support:

Warranty technical support (during six months after commissioning) and after-warranty support (at the customer’s wish based on the contractual agreement). The following services are provided within the framework of technical support:

§         Correction of program errors identified during the process of software exploitation;

§         Consulting services for the customers concerning application of the software;

§         Delivery of the updated software;

§         Consulting services in the event of substandard situations.

  Customization:

Customization is possible (subject to the Auxiliary discussion).

 Currently the subsystem is operating in:

§         The State enterprise ‘The National Bank of the Republic of Kazakhstan”.
